Work where and when you want: this is how you are reachable by phone

Some people choose the combination of working from home and the office, others work from the other side of the world for a while. Wherever your workplace is, you want to be reachable by phone for your customers. If you switch from or between your workplace(s), how do you ensure that you are reachable on your business number?

Hybrid or distributed working has gained momentum in the last few years, enabling you to collaborate with your colleagues while you are not all in the same place. In this blog, colleague Wouter explains how to make hybrid working a success in three steps. Wherever you sit, in order to focus on your work it’s important that essential things work properly, such as your telephony.

If you have been working mostly from home recently, chances are you've adjusted your phone accessibility to that situation. Do you consider working in the office again? Or do you choose to have several workplaces? Then it is useful to adjust your reachability to the situation.

Staying accessible

Haven't changed anything about your phone accessibility recently? Then you don't have to do anything now. Or have you changed things, and enjoy it? Then you can also leave things as they are. For example, if you switched to the webphone in COVID time and want to keep using it, you don't have to do anything about your reachability.

If you did make changes and want to be reachable in a different way now or later, check below which situation suits you and follow the instructions. We have listed the most common scenarios.

I now use the app and want to use my office phone again

Once you have used the app and want to use your office phone again, there are some things that need to be changed. Below is a step-by-step plan to make sure you can use your office phone to make calls again.

  • Log into freedom.voys.co with your user.
  • Go to management and then users. Click on the user's email address.
  • Go to telephony settings, click the dash and deselect your app account in Freedom. Then click save.
  • Reconnect the device.
  • When there is a green bullet in front of the VoIP account, it is up and running and you can make calls from the landline phone. If this does not happen after half an hour, check at voys.nl/setup how to re-register your device.

Have you completed the above steps? Then you can reconnect your landline phone and make calls with it.

I now use the webphone and want to use my office phone again

To set these settings right again, you have to go through several steps.

  • Log into freedom.voys.co with your user.
  • Go to management and then users. Click on the user's email address.
  • Go to telephony settings and deselect your webphone account in Freedom. Then click save.
  • Reconnect the phone.
  • When there is a green dot in front of the VoIP account, it is up and running and you can make calls from the landline phone. If this does not happen after half an hour, check at voys.co/phones-app how to re-register your phone.

I now use call forwarding to my mobile number and want to use my deskphone again

It is then important to change the forwarding to your mobile number to the VoIP account linked to your office phone. In this guide, we explain how to change your dial plan and make sure your desk phone starts ringing again.

I use the app now and want to alternate between the app and my office device

You can. If you use two different VoIP accounts, all you have to do is switch the user's end destination. This guide tells you how to switch in user reachability.

If you are using the same VoIP account for both the office device and the app, you will have to switch the account every time. This is not an ideal situation, because you then have to repeat the steps listed under the scenario “I am now using the app and want to use my office device again” each time. Therefore, it is better to use two different VoIP accounts so that you can easily switch user reachability.

I now use the webphone and want to alternate between the webphone and my office phone

If you want to do this, unplug the landline phone. It takes about half an hour to register with our platform. If you go to your VoIP account in freedom.voys.co, you will see a bullet behind the VoIP account used. If this is red, you can start using the webphone. I took my device home from the office and now I am going back to the office

This is a case of plugging in internet and power cables, and calling away. Data such as your phone number, username and password are stored in the configuration of the device. Therefore, you don't need to set this up again.

I have my reachability set up on my office phone, yet my app keeps ringing

The app's VoIP account is probably in the dial plan and not your user. With a user you can switch the end destination. Take a look at the dial plan in freedom.voys.co and check if your user or VoIP account is in it. In this guide you will discover how to change your dial plan.

I have changed my opening hours, I would like to put them back again

With the Opening Hours module, you determine what happens when someone calls your phone number. Have you adjusted your opening hours because the situation changed in recent months and now you want to put them back again? You can do this in your dial plan. In this manual we explain how to adjust your opening hours.

Always flexible with the function User

Those who work with a user in the dial plan are flexible. You can easily switch the final destination and reachability of a user. For example, you can choose to be reachable on a landline, via the Voys app, the webphone or on your mobile number. An example: if you are in the office, you can be reached on your landline. Are you in the car? Then you can set your reachability on the Voys app or your mobile number. This way, you can always be reached anywhere in a way that suits you.

If you work with multiple colleagues and want all the phones of a group of colleagues to ring, you can use a call group. Put your user in and specify where the phone should ring. Don't want to be reachable for a while? Then set your user to 'not available' and the phone will still call your colleagues. This manual tells you how to create a user.
